What to leave for buyers when you sell your home

A practical home handoff checklist for manuals, maintenance records, useful contacts and the details buyers need after closing.

A home and its front garden.

The short answer

Gather the manuals, equipment details, maintenance records and service contacts you already have. Remove personal information, explain anything uncertain, and arrange the handoff with your agent. The buyer should receive a record they can open and keep in their own account.

The first question after closing is rarely complicated. Where is the furnace manual? What size is the filter? Who serviced the water heater?

A useful handoff starts with the answers you already have. You do not need to recreate every year of the home's history before you can help its next owner.

A checklist for the record

  • Equipment details: names, locations, makes, models and serial numbers for the systems and appliances staying with the home.
  • Manuals: the documents for the installed model, clearly named so the buyer can find the right one.
  • Maintenance records: dated invoices and notes about work actually completed. Keep proposed work separate.
  • Warranty paperwork: the original terms and receipts you have. The buyer should check any transfer requirements with the provider.
  • Useful contacts: businesses that know the home, with a short explanation of the work they performed.
  • Everyday details: the filter size, paint color and location of the water shutoff, when known.

This is a recordkeeping checklist. Ask your agent what your sale agreement requires and how to handle required disclosures.

Review what you are sharing

Look through each file. An invoice may contain payment details, a personal phone number or information unrelated to the home. Make a clean copy when needed and keep the original privately.

Do not add alarm codes, passwords, financial account details or identity documents to a general home record. Arrange any necessary access changes separately.

Label estimates as estimates. If an installation date is unknown, leave it unknown rather than turning a guess into the home's history.

Make the handoff useful on day one

Start with one system, one manual and one recent service record. In Homvio, the homeowner can keep documents with the equipment and transfer the home record when the time comes. An agent can help prepare and coordinate the handoff using the capabilities available to their account.

Confirm the recipient email and timing before sending. Once the buyer accepts, ask them to open one useful document. That last step tells you the record actually reached the person who needs it.

Keep ownership and access clear

Sharing lets another person access a record while you remain its owner. An ownership handoff changes who owns it. Review which action you are taking before confirming it.
